ENTRY POINT · 2 WEEKS

Before building anything, find out where your management stands.

A technology audit is not enough. We diagnose the management layer: maturity, information flows, and where your project context lives today, in systems your team can use, or in heads that can leave.

WHY THE MANAGEMENT LAYER

Most readiness assessments focus on technology: infrastructure, data quality, tools.

These matter, but they are not where organizations fail. They fail on the management layer: no shared method, context living in people's heads, governance gaps, leadership misalignment. The Diagnostic evaluates the layer that decides whether your project management system, and the AI inside it, will hold.

METHODOLOGY

Six management dimensions. Adapted to your sector.

We assess across governance, people capability, process maturity, data culture, leadership alignment, and change capacity. The methodology is adapted to your sector: commercial and non-profit organizations face different governance structures and change dynamics.

01

Governance

Decision rights, accountability structures, oversight of AI-generated outputs, and where project decisions get recorded today.

02

People Capability

PM and AI capability across management levels, gaps, development priorities.

03

Process Maturity

Which management processes are ready to carry the system, which need redesign first.

04

Data Culture

How project information flows: what is written down and where, what lives only in heads, what gets lost in handovers.

05

Leadership Alignment

A shared picture of what the system should change and who is accountable for it.

06

Change Capacity

Your organization's ability to absorb a new way of working and keep it.

DELIVERABLES

Five deliverables. One clear picture.

I

Maturity Score

Structured assessment across the six management dimensions, your baseline for the before/after measurement.

II

Gap Analysis and Context Map

Where the gaps are and which block you most, prioritized by impact and feasibility. Including the context map: which knowledge exists only in individual heads, and what it would cost you to lose it.

III

System Build Roadmap (outline)

A sequenced roadmap to your project management system with measurable outcomes. A clear picture of the path and the decisions required.

IV

Tooling Map

An inventory of the tools you already own, what they can carry in the new system, and what is genuinely missing. We are system agnostic and take no vendor commissions.

V

Recommended Next Step

Whether to proceed to the System Build, which gaps to close first, and whether INSTAR is the right partner for each part.

HONEST SCOPE BOUNDARIES

What we don't assess

INSTAR's assessment covers the management layer. We are explicit about what we do not assess:

01

Technical infrastructure and data architecture

Assessed by your technology team or a technical partner.

02

Software or tool recommendations

We assess governance requirements, not specific products.

03

Narrow specialist domain operations

We assess the management layer around these, not the domain processes.

04

Financial modelling or ROI projections

We advise on benefits realization frameworks, not financial forecasting.

If you are unsure whether what you need falls within our scope, ask. We will tell you directly.

FAQ

Questions we hear often

Is the assessment a technology audit?

+

No. It is a management diagnostic. We assess governance, leadership alignment, capability, process maturity, data culture, and change capacity. We comment on technology only where management or governance gaps constrain artificial intelligence adoption.

Can the assessment be a standalone engagement?

+

Yes. The Diagnostic is a fixed-scope, fixed-fee, 2-week engagement. You receive the diagnostic report and decide whether to proceed to the System Build, with INSTAR or otherwise.

Is the methodology different for non-profits?

+

Yes. Governance constraints, accountability structures, and change dynamics differ between commercial and donor-funded organizations. The six dimensions are the same; the lens through which we assess them is adapted to your sector.

Who leads the assessment?

+

Senior INSTAR consultants with prior experience leading transformation in organizations comparable to yours. Named team confirmed at scoping.
